If you’re thinking about migration to Dynamics 365 Business Central, it’s a good idea to prepare your team for a demonstration by helping them acquire a basic understanding of the components and possibilities provided in the Business Central user interface.

Business Central Roles

Each Business Central user is provided with a defined Role, allowing access to the data and actions their work may require. Role settings determine which options are shown in the navigation menu, which types of data will be displayed in the List Area, and which relevant actions are shown in the Action area. Standard Role Centers in Business Central include Accountant, Business Manager, Sales Order Processor, Customer Service, Production Planner, Project Manager, Sales and Relationship Manager, Shipping and Receiving, Warehouse Worker, Team Member and User Administrator.

Below is an example of an Accountant Role Center. The intuitive menu makes it easy to drop down into Lists and Actions , which link to da ta and functions used by the Role. Headline and Activities are dashboard areas, updated with current data relevant to the user Role.

Role Center List and Action menus link to List Pages , Card Pages and Document Pages which e nable the user to enter, search, modify and analyze the company’s business information.

List Pages display your contacts, customers, vendors, sales orders, invoices and other data files. Records have a Microsoft – friendly look and feel, giving the user the ability to search, sort, filter, edit or delete. The user can also adjust the width of columns and the order of column headers. Business Center learns these preferences and they roam with the user when List Pages are accessed from multiple devices.

Card Pages are displayed when the user drills down into a single List Page entity or record, displaying detailed information about one customer, vendor or contact. Again, intuitive icons and controls make it easy to create a new Card Page, update entries or delete an obsolete record.

Document Pages record a single transaction, such as a Sales Order, Purchase Order, Sales Invoice or Purchase Invoice. With a PO number, the user can pull up Purchase Order detail, drill down into individual lines, and link line items with the customer or other transaction details.

Page Multi – Tasking enables users to open each link in a new window, working between several List, Card or Document Pages at once.

Role Explorer provides an overview of all functions which are available for each Role Center. When the Role Center is Sales , data and actions are accessible for Customers, Items, Item Changes, Sales Orders, Blanket Orders, Sales Invoices, Credit Memos, Return Orders, Reminders, Finance Charges and Postings.

For each of the other defined Roles in Business Central, Role Explorer provides access to relevant data and actions. Below is the Role Explorer for the Business Manager Role.

More User Interface Features

At the top of each page, the App Bar , provides universal functions which are very useful.

Tell Me – This search function helps you determine how to complete a particular task by suggesting available actions, pages and reports based on what you type. For example, as you type the word “customer”, Tell Me offers suggestions on the current page, as well as go – to pages, tasks or reports.

Help – The Help and Support features in Dynamics 365 Business Central include details about your current page, plus where to find more answers. Should you encounter technical issues, Help also includes Troubleshooting, for self – help or to guide a support engineer to a solution.

Microsoft Dynamics 365 Integration — One of the great strengths of Business Central is the ability to import and export data in many forms. Built – in integration makes it easy to move from Business Central to Excel, Word and Outlook, or between other Dynamics 365 applications.
